1. Information We Collect

1.1 Local Data (Stored on Your Device)

SortMeOut stores the following information locally on your Mac:

• Rules and Preferences: Your automation rules, watched folders, and app settings
• License Information: Your license key and activation status
• Machine Identifier: A hardware-based identifier used solely for license validation
• Usage Statistics: Daily AI request counts (stored locally for rate limiting)

This data never leaves your device unless you explicitly export it.

1.2 Data Sent to External Services

When using the AI Assistant feature, the following data may be sent to Anthropic (Claude AI):

• File Names: Names of files in your watched folders (for context)
• Folder Structure: Directory names and organization
• Your Questions: Natural language queries you type to the AI

When using the Image Studio feature, the following data is sent to OpenAI (DALL·E 3):

• Image Prompts: Text descriptions you provide for image generation
• Generation Parameters: Image size and quality settings

Important: File contents are never sent to AI services. Only metadata like file names and types are shared when you explicitly use the AI Assistant. Generated images are downloaded and stored locally on your device.

1.3 Payment Information

Payment processing is handled entirely by our payment provider (Stripe or similar). We do not store, process, or have access to your credit card numbers or banking information.

2. How We Use Your Information

• License Validation: To verify your Pro license status
• AI Features: To provide intelligent file organization suggestions
• Rate Limiting: To enforce daily AI request limits
• Product Improvement: Aggregated, anonymized usage statistics may help us improve the app

3. Third-Party Services

3.1 Anthropic (Claude AI)

Our AI Assistant is powered by Anthropic's Claude AI. When you use AI features, your queries and file metadata are processed according to Anthropic's Privacy Policy. Anthropic does not use your data to train their AI models.

3.2 OpenAI (DALL·E 3)

Image Studio uses OpenAI's DALL·E 3 API. When you generate images, your text prompts and generation parameters are processed according to OpenAI's Privacy Policy. Generated images are downloaded to your device and not stored on OpenAI's servers beyond the generation process.

3.3 Payment Processors

Pro subscriptions are processed by secure third-party payment providers who maintain their own privacy policies.

4. Data Security

• All local data is stored in your macOS user folder with standard file permissions
• License keys and sensitive settings are stored securely
• All network communications use HTTPS encryption
• We implement industry-standard security practices

5. Your Rights

You have the right to:

• Access: View all data stored by SortMeOut (located in ~/.config/sortmeout/)
• Delete: Remove all local data by deleting the config folder or uninstalling the app
• Opt-out: Use SortMeOut without AI features to avoid any external data sharing
• Export: Export your rules and settings at any time

6. Children's Privacy

SortMeOut is not intended for children under 13. We do not knowingly collect information from children.

7. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any significant changes through the app or our website.
